Who we are
Hey Otto ("Otto", "we", "us") is an AI-powered front desk for mobile detailing and other local service businesses, operated by Gibson Neiter as a sole proprietorship. Otto answers text messages and social media direct messages on behalf of the businesses that use it, provides quotes, and books appointments on their calendars.
This policy explains what information Otto handles, how it is used, and the choices you have. It covers both:
- Business owners — the detailing businesses that sign up for Otto; and
- Customers — the people who text or message a business that uses Otto.
Information we collect
From business owners
- Account details: name, email address, mobile phone number, and password (stored as a secure hash).
- Business setup details: business name, services and pricing, service area, business hours, timezone, and booking preferences (buffers, lead time, cancellation policy).
- If you connect Google Calendar: an access token authorized through Google's consent screen (see the Google Calendar section below).
- If you connect Instagram or Facebook Messenger: your connected page and account identifiers provided by Meta.
From customers who message a business
- Your phone number (for SMS) or your Instagram/Facebook name and platform-assigned messaging ID (for direct messages).
- The content of the messages you send, and the replies Otto sends back.
- Details you choose to share while booking: your name, vehicle, service address, and requested service.
Collected automatically
- Message delivery status and timestamps (for example, whether a text was delivered).
- Basic service usage and cost metrics used to operate and bill the service.
Otto does not collect payment card numbers, government IDs, or precise device location.
How we use information
- To answer messages, provide quotes, and book, confirm, move, or cancel appointments.
- To send appointment reminders and related service messages on behalf of the business you contacted.
- To notify the business owner when a conversation needs their attention.
- To operate, secure, troubleshoot, and improve the service.
AI processing. Otto uses Anthropic's Claude models to read incoming messages and draft replies. Message content is sent to Anthropic's API for this purpose only. We do not permit our AI providers to use your messages to train their models.
We do not sell personal information, and we do not use it for third-party advertising.
Instagram and Messenger data
When a business connects its Instagram or Facebook account, Otto receives messages sent to that business through Meta's platform (message text, sender name, and platform messaging IDs) via Meta's webhooks, and sends replies through Meta's APIs.
- We use this data solely to provide the messaging and booking service to the business you contacted.
- We reply only within the messaging windows Meta permits.
- We do not sell Meta platform data or use it for advertising, and we handle it in accordance with the Meta Platform Terms.
- You can request deletion of this data at any time — see our Data Deletion page.
Google Calendar data
If a business owner connects Google Calendar, Otto requests access to that calendar in order to:
- read free/busy availability so Otto only offers open time slots; and
- create, update, and delete the calendar events for appointments Otto books.
Access tokens are stored encrypted and are used only for the purposes above. Otto does not read the contents of unrelated calendar events beyond what is needed to determine availability, and calendar data is never used for advertising.
Otto's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
You can disconnect Google Calendar at any time from Otto's Connections page or by revoking access at myaccount.google.com/permissions.
Text messaging (SMS)
- Otto sends and receives SMS through Twilio using a dedicated phone number for each business.
- Conversational replies are sent only to people who texted the business first, plus appointment reminders for bookings they made.
- Message frequency varies and depends on your conversation with the business — typically a few messages per inquiry, plus reminders for appointments you have booked.
- Reply STOP at any time to stop receiving messages from a business's Otto number. Reply HELP for help. Message and data rates may apply.
- Phone numbers and opt-in status are never shared with third parties for their own marketing.
Who we share information with
We share information only with the service providers that make Otto work, and only as needed to provide the service:

The business you message can see its own conversations — that is the point of the service. Each business can only see its own data; businesses are isolated from one another at the database level. We may also disclose information if required by law.
Data retention
Conversation and appointment records are kept while the related business has an active Otto account, so that the business has a record of its customer history. When a business closes its account, its data is deleted. You can also request deletion of your own data at any time — see Data Deletion.
Security
- All data is encrypted in transit (TLS).
- Calendar access tokens are encrypted at rest.
- Each business's data is isolated with database-level access controls.
- Webhook traffic from Twilio and Meta is cryptographically verified before it is processed.
Your rights and choices
- Opt out of SMS: reply STOP to any message.
- Access or deletion: email us (below) to ask what information we hold about you or to have it deleted. Instructions are on the Data Deletion page.
- Disconnect integrations: business owners can disconnect Google Calendar or Meta messaging at any time from within Otto.
Depending on where you live, you may have additional rights under local law (such as the CCPA in California). We honor verified requests regardless of location.
Children
Otto is not directed to children under 13, and we do not knowingly collect information from them. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
If we make material changes, we will update this page and the effective date above.
